All ancillary events occurring between Thursday, October 5, and Monday, October 9, 2023, require approval by the XX iwCLL 2023 organizing committee.
Ancillary activities may not compete with the iwCLL 2023 agenda or independent satellite symposia. Venues should be conducive to a scientific interchange. XX iwCLL 2023 will release and assign space at the Hynes Convention Center (HCC). On approval, XX iwCLL 2023 will assign space, at which time the requesting organization will be turned over to the HCC and work directly with the property to plan their event details. For events held outside of the HCC, XX iwCLL 2023 will determine whether the proposed activity meets the guidelines.
All ancillary events must receive XX iwCLL 2023 committee authorization. If you plan to hold an ancillary meeting outside of the HCC, you are required to complete the application and receive XX iwCLL 2023 committee approval. Application fees will apply.
Organizations may not hold any functions during the defined blackout times unless approved by XX iwCLL 2023. Failure to obtain approval to hold any event during these established times may result in exclusion from all XX iwCLL 2023 events (current and future). Blackout times do not apply for exhibitor staff meetings; however, an application must be submitted for approval.

XX iwCLL 2023 limits the number of events taking place at any given time. Application approval and fee payment must be received prior to space assignment. All requests must be submitted, and payments received by August 1, 2023. Space is assigned on a first-come, first-served basis and subject to availability
Pharmaceutical companies sponsoring the XX iwCLL 2023 Conference will receive preferential space assignments. Applications to receive preferential space assignments must be received by March 1, 2023. Requests that come in after the deadline will be managed with the general requests on a first-come, first-served basis.
$10,000.00 – If held at the HCC. The ancillary event fee includes the application fee and meeting room rental. All other expenses, including, but not limited to, audiovisual and food and beverage are the responsibility of the applicant.
$2,500.00 – Application fee will apply if the event is approved and held at a location other than the HCC.
